The project overview is available from 1.8.0.

The Project Overview page is your new central hub for viewing and editing project data. It’s designed to feel familiar and intuitive, like a spreadsheet, making it easy to manage large amounts of information quickly and efficiently.

What Can You Do on the Overview Page?

The Overview page allows you to:

  • View and edit project data in a clear, spreadsheet-like format.

  • Organize and manage tasks efficiently.

  • Filter and sort data to focus on what's important.

  • Customize your view by managing columns and saving configurations (coming soon!).

  • Create new entities directly within the page.

  • Export data for use in other applications.

Spreadsheet Editing

The core of the Overview page is its powerful spreadsheet editing capabilities.

  • Edit Cells Directly: Simply double-click on any cell to enter edit mode and modify its value.

  • Dropdown Editing: For cells with dropdown options, a single click on the dropdown arrow will immediately open the selection menu.

  • Copy and Paste: You can easily copy values from one or multiple cells and paste them into other cells.

  • Multi-Cell Selection: Select multiple cells using standard techniques like shift+click (for a range), ⌘/Ctrl+click (for individual cells), or by clicking and dragging your mouse.

  • Keyboard Navigation and Editing: Navigate through the table using your keyboard arrows and use standard keyboard shortcuts for editing.

  • Visual Indication of Inheritance: Values that are being inherited from a parent entity are displayed in grey.

  • Attribute Inheritance: You can choose to either inherit a value from the parent entity or override it with a custom value directly in the cell.

  • Open Details Panel: Select an entire row by clicking on the row number to open the details panel for that entity.

Table Functions

Enhance your data management with these built-in table functions:

  • Sorting: Click on any column header to sort the data based on that column's values. Click again to reverse the sort order.

  • Pinning Columns: Pin multiple columns to the left side of the table so they remain visible even when scrolling horizontally.

    Pinning can also be done through "Customize" panel.

  • Customize Columns View: Access the "Customize panel > Columns" to easily manage which columns are visible and their settings, including reordering.

    • Re-ordering Columns: Drag the column names to your desired order.

    • Hiding Columns: Hide columns that are not relevant to your current task to declutter your view.

    • Row Height: Adjust the row height using the Row Height slider.

Grouping (Power Feature)

Grouping is part of the Power Features addon 1.1.0 or higher.

The Grouping feature adds the ability to group tasks by task attributes, like status, assignees and tags and more.

To start grouping by an attribute:

Customize / Group.

Right click on a cell to group by that column.

Grouping works with almost all attributes, making it easy to organise data or find anomalies.

Attributes with type datetime, boolean and list_of_* are not groupable.

Filtering

Quickly find the information you need with powerful filtering options:

  • Attribute Filtering: Filter tasks based on any of their attributes. The system will suggest relevant values to filter by, or you can enter your own custom search terms.

  • Fuzzy Search: Use the search bar to perform a fuzzy search for tasks by their name or path. The system will intelligently find matches even with slight variations in your search term.

  • Folder Slicer: Filter by folder using the slicer on the left side of the page.

  • Quick Slicers (Power Feature): With a Pro or higher license, you can access ⚡ Power Features that allow you to quickly slice your data by more options like assignees and status.

Advanced Filtering (Power Feature)

Advanced filters is part of the Power Features addon 1.0.4 or higher.

  • Relative Values: These are filters that can be used without needing to know the specific data itself. For example: check if the assignees or Tags field is empty or has at least one user assigned.

  • Exclude Items: Gain more control over what you see by excluding tasks based on their attributes. For example, easily hide all "Approved" tasks to concentrate on the remaining work.

  • Match All: Need to find tasks that have all the specified values for a particular attribute? With the "Match all" you can ensure that an entity matches all the criteria you've set for a single attribute. For example, if you are filtering the "Tags" attribute for both "Character" and "Animation", enabling "Match all" will only show you tasks that have both the "Character" and "Animation" tags.

Views

Currently, your filter and column configurations are saved only for your current session. This means that once you log out, these settings will be reset for privacy reasons.

In the future, we are planning to introduce a more robust "Views" system. This ⚡ Power Feature will allow you to save your custom filter and column configurations on the server. You will be able to rename and even share these views with other users on your project.

Adjusting Row Height & Thumbnail Size

You can customize the density of your project overview by adjusting the height of the rows. This allows you to create a compact, data-focused layout or a more spacious view that emphasizes thumbnails.

Thumbnails are designed to dynamically fill the space available within their cell allowing for support of all aspect ratios.

Changing Row Height

You can find the row height setting inside of the table customize menu. Your chosen row height is saved as part of the current view's settings.

Task List View

By default, the Overview page displays your project data in a hierarchical tree structure, showing folders and nested tasks. However, there are times when you might want to see a flat list of all tasks, regardless of their folder location, especially when focusing on tasks with a specific status.

To achieve this, simply toggle the "Show hierarchy" option off. This will present you with a simple list of all tasks without any folder nesting. This view is particularly useful when combined with the various filtering options.

Adjusting Row Height & Thumbnail Size

You can customize the density of your project overview by adjusting the height of the rows. This allows you to create a compact, data-focused layout or a more spacious view that emphasizes thumbnails.

Changing Row Height

To change the row height for your current view, look for the controls at the top-right of the folder list.

  1. Click the Row height icon.

  2. Use the slider to adjust the height. Dragging it to the left creates a compact view, while dragging it to the right increases the row height.

The layout updates in real-time as you move the slider. Your chosen row height is automatically saved as part of the current view's settings.

Details Panel Attributes

You can now directly edit all the attributes of an entity within The Details Panel. This functionality is not limited to the Overview page and is available wherever the details panel is accessible throughout AYON.

Folder and Task Creation

  • Single Button for Multiple Types: Use the main entity creation button to access options for creating various entity types.

  • Right-Click Options: Right-click within the Overview page to bring up a context menu with entity creation options.

  • Folder-Specific Creation: Select a specific folder in the hierarchy before creating a new entity to automatically place it within that folder.

  • Generated names: Names are automatically generated based on the label. This formatting can be set in the Project Anatomy and the name can always be overwritten.

Move Folders and Tasks

You can move folders and tasks to a new location using the Move option.

  1. Right-click on the folder or task you want to move.

  2. Select Move.

  3. Choose the destination folder.

  4. The folder and it’s contents or the task will be moved to the new directory.

You cannot move a folder that has versions already published to it.

Exporting

Need to get your data out of AYON? We've got you covered:

  • Spreadsheet Copy and Paste: Easily copy data directly from the Overview page and paste it into your favorite spreadsheet software.

  • Export to CSV: Export the currently selected data to a CSV (Comma Separated Values) file for further analysis or use in other applications.

  • Future Import/Export Enhancements: We are planning to add more advanced importing and exporting features in future updates.

In the Project Overview Page, you can export your entire project as a CSV file by following these steps:

  1. Select all cells in the project overview:

    • Apply any filters you may want to the rows and columns.

    • Expand all folder hierarchy by Alt + clicking the expand icon on the root folders.

    • Select the first cell on the upper left, then press Shift and select the last cell on the bottom right.

  2. Right-click: Hover over any selected cell and right-click.

  3. Export: Select Export selection.

Alternatively, you can use Ctrl/⌘ + C to copy the selected data and then paste it directly into a spreadsheet program.

Entity Templates (Power Feature)

Entity Templates feature is part of the Power Features addon 1.2.0 or higher.

Entity Templates let you store and reuse project hierarchies. For instance, you could use a template to create a set of tasks for a lead character or to initialize a project with a default folder structure. For further info, refer to Entity Templates.

Calculated Attributes (Power Feature)

Calculated Attributes feature is part of the Power Features addon 1.4.0 or higher.

Calculated Attributes allow you to define dynamic entity attributes on the server that are automatically calculated (and recalculated) based on a formula. For further info, refer to Calculated Attributes.

In Progress Features

We are actively working on bringing you even more powerful features to the Overview page:

  • Realtime Updates: See changes made by other users reflected in your view instantly.

  • Undo/Redo History: Easily revert or reapply actions with a comprehensive undo/redo history.

  • Thumbnails: Visual representation of your assets directly within the Overview page.

Power Features ⚡️ (Pro Subscription and Up)

Subscribers with a Pro license or higher will gain access to these advanced capabilities:

  • Advanced Filtering: Unlock more powerful filtering options with "excludes" and the ability to "Match all" within attribute filters.

  • Grouping: Ability to group tasks by task attributes, like status, assignees and tags.

  • Entity Templates: Create predefined templates for entities to speed up project structure building.
